# Connect NetSuite + Coupa

Automate purchase order, order acknowledgement, advance ship notice, invoice, catalogue / price file between NetSuite and Coupa — with monitoring and managed support from APIWORX.

See How It Works

APIWORX connects the systems your business already uses and takes responsibility for the agreed integration workflows after go-live. The exact objects, direction and cadence are fixed in writing during scoping.

APIWORX Provides the Service

## Yes. APIWORX connects NetSuite and Coupa.

But connecting the applications is only the beginning. The work that costs you time sits in the process running between them.

APIWORX automates that process end to end — the objects moving between NetSuite and Coupa, the ownership rules that decide which system wins, the exceptions when a record will not post, and the monitoring that tells someone before your team finds out from a customer.

How it works

## From requirements to a managed integration

1

### Tell Us What You’re Connecting

Provide the systems, workflow and business requirements.

2

### We Design the Integration

APIWORX recommends the integration architecture, mappings and implementation approach.

3

### We Build, Monitor & Support It

APIWORX implements the integration and provides ongoing monitoring and support as applicable.

## Who this is for

This page is for order-management and finance teams selling to Coupa-enabled buyers while NetSuite runs orders, fulfilment and invoicing.

### What needs to be in place

- An active supplier relationship with one or more Coupa-enabled buyers.
- NetSuite with integration access and a role permitted to create the records in scope.
- Item, customer and pricing mappings for each buyer.
- A warehouse or 3PL able to fulfil orders and return shipment detail.

### When you may not need this

Low buyer count and low volume can be handled in the portal. Integration is worth it when several buyers, changing item and price mappings, or invoice rework are consuming ops time every week.

### What is out of scope

- Scope here is supplier-side only; buyer-side Coupa procurement configuration is out of scope.
- The transaction path — cXML, EDI or another supported route — is confirmed per buyer in scoping.
- PunchOut catalogue hosting is not claimed on this page.
- APIWORX does not negotiate buyer terms or supplier programme requirements on your behalf.

## What actually moves, and who owns it

A representative supplier-side scope, confirmed per buyer before build.

NetSuite APIWORX (mapping, retries, exception queue) Coupa

| Object | From | To | System of record | Trigger | If it fails | Owner |
| --- | --- | --- | --- | --- | --- | --- |
| Purchase order | Coupa | NetSuite sales order | Buyer | PO issued | Held in exception queue with the validation error | APIWORX |
| Order acknowledgement | NetSuite | Coupa | NetSuite | Order approved or changed | Retried, then queued for review | APIWORX |
| Advance ship notice | NetSuite item fulfilment / 3PL | Coupa | Warehouse | Fulfilment recorded | Held with missing carton or tracking detail flagged | APIWORX with your warehouse |
| Invoice | NetSuite | Coupa | NetSuite | Invoice created from fulfilment | Queued; buyer rejections reported back with reason | APIWORX |
| Catalogue / price file | Your source file | Coupa | Your commercial team | Agreed update cadence | Previous file retained; failure raised | APIWORX |

## Three decisions that make or break this integration

### A purchase order arrives with pricing that does not match your NetSuite price

Price and quantity variances are checked before the sales order is created, so a mismatch surfaces before fulfilment rather than at invoice-rejection time.

- Variances outside agreed tolerance are held for your decision.
- Approved exceptions are applied against the buyer's original PO reference.
- Repeat variances raised as a pricing or mapping change.

### A fulfilment is partial

Partial shipments are represented as they happened — a ship notice for what left, and the balance kept open on the NetSuite order.

- Ship notices reflect the actual fulfilment record.
- Backordered lines remain visible on the NetSuite order.
- Invoices follow fulfilment, not order entry, unless you agree otherwise.

### Invoice rejections come back with the reason attached

Rejections are logged against the NetSuite invoice with the buyer's reason, so finance corrects and resubmits once rather than chasing the portal.

- Reason codes captured with the original reference.
- Resubmission after your approval.
- Patterns escalated as process changes.

## Reliability and ownership

The operating rules that apply to this workflow after go-live.

- Every document is logged with its control reference and the trading partner it belongs to, so a transaction can be traced end to end.
- Failed documents are retried on a defined schedule; anything still failing is held in an exception queue rather than partially processed.
- Duplicate prevention keys on the partner's own purchase order or document identifier.
- Exceptions are worked by the APIWORX team and escalated to your named contacts when a business decision is needed.
- New partners, new document types and changed requirements are handled as mapping work inside the ongoing engagement.
- Support windows and response commitments live in your agreement; this page does not state an SLA.

## How a transaction is traced

Illustrative — not customer data

An illustrative reference trace across the buyer transaction cycle and NetSuite.

| Buyer purchase order number | NetSuite sales order number |
| --- | --- |
| Buyer ship-to location | NetSuite location and address |
| NetSuite item fulfilment | Ship-notice reference |
| NetSuite invoice number | Invoice submission reference |

## Scope and questions

Is this buyer-side or supplier-side?

Supplier-side. We handle the buyer transactions you receive and the documents you return; configuring Coupa as a buying organisation is out of scope.

Which transaction format is used?

Confirmed per buyer in scoping — Coupa buyers differ in whether they expect cXML, EDI or another supported route.

Do invoices come from orders or fulfilments?

Usually from fulfilments so the invoice matches what shipped, but the rule is agreed with your finance team in scoping.

Who owns exceptions?

APIWORX works the queue and escalates to your named contacts when a business decision is required.
