# Connect Acumatica + SPS Commerce

Automate purchase order (850), po acknowledgement (855), routing request and instructions (753 / 754), advance ship notice (856), invoice (810) between Acumatica and SPS Commerce — with monitoring and managed support from APIWORX.

See How It Works

APIWORX connects the systems your business already uses and takes responsibility for the agreed integration workflows after go-live. The exact objects, direction and cadence are fixed in writing during scoping.

APIWORX Provides the Service

## Yes. APIWORX connects Acumatica and SPS Commerce.

But connecting the applications is only the beginning. The work that costs you time sits in the process running between them.

APIWORX automates that process end to end — the objects moving between Acumatica and SPS Commerce, the ownership rules that decide which system wins, the exceptions when a record will not post, and the monitoring that tells someone before your team finds out from a customer.

How it works

## From requirements to a managed integration

1

### Tell Us What You’re Connecting

Provide the systems, workflow and business requirements.

2

### We Design the Integration

APIWORX recommends the integration architecture, mappings and implementation approach.

3

### We Build, Monitor & Support It

APIWORX implements the integration and provides ongoing monitoring and support as applicable.

## Who this is for

This page is for supply-chain and operations teams running Acumatica who trade with retailers through SPS Commerce.

### What needs to be in place

- An active SPS Commerce relationship with your retailers and document types identified.
- Acumatica with API access and a user permitted to create the documents in scope.
- Agreed item, warehouse and customer mapping for each retailer.
- A warehouse or 3PL able to act on released orders and return ship-notice detail.

### When you may not need this

One retailer with light volume can be worked in the SPS portal. This is for teams where several retailers, compliance requirements or shipment volume make portal keying and manual chasing expensive.

### What is out of scope

- The document set is confirmed per retailer during scoping; retailer requirements differ and no fixed set is claimed here.
- APIWORX does not manage retailer compliance programmes or negotiate terms.
- Label printing and packaging compliance remain warehouse responsibilities.

## What actually moves, and who owns it

A representative scope using commonly-traded retailer documents. Which documents apply per retailer is confirmed before build.

Acumatica APIWORX (mapping, retries, exception queue) SPS Commerce

| Object | From | To | System of record | Trigger | If it fails | Owner |
| --- | --- | --- | --- | --- | --- | --- |
| Purchase order (850) | SPS Commerce | Acumatica | Retailer | PO received | Held in exception queue with the validation error | APIWORX |
| PO acknowledgement (855) | Acumatica or ops decision | SPS Commerce | Your confirmation | Quantities and dates confirmed | Retried, then escalated to your ops contact | APIWORX (delivery) / you (decision) |
| Routing request and instructions (753 / 754) | Both directions | Both | Retailer instructions | Where the retailer requires routing | Queued with the reason; shipment held | APIWORX |
| Advance ship notice (856) | Acumatica shipment or 3PL | SPS Commerce | Shipment record | Shipment confirmed | Retried, then queued with the rejection reason | APIWORX |
| Invoice (810) | Acumatica | SPS Commerce | Acumatica | Invoice released | Rejected invoices queued with the reason attached | APIWORX |
| Inventory advice (846) | Acumatica | SPS Commerce | Acumatica | Where the retailer expects availability | Retried, then queued for review | APIWORX |

## Three decisions that make or break this integration

### Retailer orders arriving as Acumatica documents

Inbound POs become Acumatica sales orders with the retailer's item numbers, ship windows and locations mapped, so operations work from the ERP instead of a portal tab.

- Retailer item numbers mapped to Acumatica stock items.
- Ship-to distribution centres mapped so allocation is correct.
- Ship windows carried onto the order for planning.
- Unmapped items or locations raise a named exception rather than guessing.

### Shipments and routing without last-minute scrambles

Where a retailer requires routing instructions before despatch, those exchanges are handled in sequence and the shipment is held until instructions arrive, rather than shipping and hoping.

- Routing requests raised where the retailer requires them.
- Shipments held rather than despatched against missing instructions.
- Ship notices built from the confirmed shipment record.
- Rejections captured with the retailer's reason and worked as exceptions.

### Invoicing and availability on defined rules

Invoices are generated from released Acumatica documents with PO and shipment references attached, and where retailers expect availability updates those are published on an agreed cadence.

- Invoice content derived from the released Acumatica invoice.
- PO and ship-notice references carried through for traceability.
- Availability publishing cadence agreed in scoping; no real-time claim is made here.
- Recurring rejections raised as mapping or process changes.

## Reliability and ownership

The operating rules that apply to this workflow after go-live.

- Every document is logged with its control reference and the retailer it belongs to, so a transaction can be traced end to end.
- Failed documents are retried on a defined schedule; anything still failing is held in an exception queue rather than partially processed.
- Duplicate prevention keys on the retailer's own purchase order or document identifier.
- Exceptions are worked by the APIWORX team and escalated to your named contacts when a business decision is needed.
- New retailers, new document types and changed requirements are handled as mapping work inside the ongoing engagement.
- Support windows and response commitments live in your agreement; this page does not state an SLA.

## How a document is traced

Illustrative — not customer data

An illustrative reference trace across the retailer document cycle and Acumatica.

| Retailer purchase order number | Acumatica sales order number |
| --- | --- |
| Retailer ship-to location | Acumatica warehouse and address |
| Acumatica shipment | Outbound ship notice reference |
| Acumatica released invoice | Invoice submission reference |

## Scope and questions

Which documents do you support?

Confirmed per retailer in scoping. Commonly traded transactions include the purchase order, acknowledgement, routing exchanges, ship notice, invoice and inventory advice.

Do we replace SPS Commerce?

No. SPS stays as your trading network. APIWORX handles the mapping into Acumatica and the daily exception work.

Can several retailers run at once?

Yes. Each retailer is mapped separately so requirements and exceptions stay distinguishable.

Who owns exceptions?

APIWORX works the queue and escalates to your named contacts when a business decision is required.
